Domain Health Monitor

The Domain Health Monitor runs 19 automated checks across your sending domains every day — covering everything from SPF/DKIM/DMARC authentication to blacklist status, DNS infrastructure, sending metrics, and compliance with Google/Yahoo/Microsoft bulk sender rules.

Think of it as a deliverability checkup for each of your sending domains. Instead of manually visiting MXToolbox, Spamhaus, and a dozen other tools, Score CRM does it all for you and tells you exactly what to fix.

What Gets Checked

Every health check evaluates your domain across 5 categories:

CategoryWeightWhat's Checked
Authentication35%SPF, DKIM, DMARC, DMARC Alignment
Blacklists25%Domain blacklists (6 lists), IP blacklists (6 lists)
DNS & Infrastructure15%MX records, Reverse DNS, STARTTLS, MTA-STS, TLS-RPT, BIMI
Sending Metrics15%Bounce rate, Complaint rate, Volume trends, Engagement rate
Compliance10%Unsubscribe headers, Bulk sender compliance, Domain expiration

Your Health Score

Each domain gets a score from 0 to 100 and a letter grade:

ScoreGradeWhat It Means
90-100AExcellent — your domain is well configured
75-89BGood — minor improvements possible
60-74CFair — needs attention before issues impact delivery
40-59DPoor — action required to prevent deliverability problems
0-39FCritical — your sending is at risk
Critical Overrides

Some issues are so severe they cap your grade regardless of other scores:

  • Spamhaus listing forces maximum grade D
  • Missing DMARC forces maximum grade C
  • Both SPF and DKIM failing forces maximum grade D
  • Complaint rate above 0.3% forces maximum grade C
  • Domain expiring in less than 7 days forces grade F

How It Works

Automatic Daily Checks

The system runs a full health check on every configured sending domain once a day (at 3 AM UTC). No setup required — just connect your SMTP provider and the checks start automatically.

Manual On-Demand Checks

Need to verify a fix you just made? Click Run Check Now from the Domain Health dashboard to trigger an immediate check. On-demand checks are limited to one per minute per organization.

Actionable Fix Instructions

Every failing check includes a "How to fix" section with:

  • The exact DNS records to add or change
  • Step-by-step instructions specific to your email provider
  • Links to relevant provider documentation

Getting Started

  1. Go to Settings > SMTP Connections and ensure you have at least one connection with a From Email configured
  2. The sending domain is automatically derived from your From Email (e.g., hello@acme.com uses acme.com)
  3. Navigate to Settings > Domain Health to see your dashboard
  4. Click Run Check on any domain to trigger your first health check

Optional: Configure for Full Coverage

For the most comprehensive checks, configure these optional fields in your SMTP connection settings under Domain Health Monitoring:

FieldWhat It EnablesWhen to Set It
Sending DomainOverride the auto-detected domainWhen your sending subdomain differs from the From Email domain
DKIM SelectorPrecise DKIM key lookupWhen auto-detection doesn't find your DKIM record
Dedicated IPsIP blacklist + Reverse DNS checksWhen you have dedicated sending IPs from your ESP

The Dashboard

The Domain Health dashboard shows all your sending domains in one table:

  • Score — visual progress bar with numeric score
  • Grade — color-coded letter grade (green for A/B, yellow for C, red for D/F)
  • Status icons — quick pass/fail indicators for SPF, DKIM, DMARC, Blacklists, and MX
  • Last checked — how recently the domain was scanned
  • Trend — score change since the previous check

Click the eye icon to see the full detail view with all 19 checks grouped by category, each with status, score, details, and fix instructions.

In-App Notifications

Score CRM automatically creates notifications when:

  • A domain's health grade drops (e.g., B to C)
  • A new critical issue is detected (blacklist listing, authentication removed, domain expiring)

Look for the bell icon in the top navigation bar. A red badge shows your unread notification count. Click to see details and navigate directly to the affected domain.
